Attendee Terms and Conditions
Below there is important information for attendees of the Ride and Refuel event (the “Event”) at the Lower Square in Westfield London (the “Centre”).
Please read these Terms and Conditions carefully as they:
1. highlight key risks for people; and
2. describe the Event Organisers responsibilities to you for the Event.
The Event is organised by Commerz Real Investmentgesellschaft MBH, (the “Centre Owner”) and the asset manager of Westfield London, Westfield Europe Limited (“Westfield”) (together, the Event Organisers, “we”, “us”, “our”).
By attending the Event, you are deemed to have accepted and agree to adhere to these Terms and Conditions (“Terms”). The Event Organisers reserves the right to amend these Terms from time to time.
The Event
This Event is a free event for all which will be taking place at Westfield London on 29 August 2025, 12pm – 5pm.
The Event includes the following activities from the following third party retailers and organisations (“Participating Suppliers”):
Bike Soup – Juice bike activity / display and offering basic tune ups and repairs of bicycles.
Stretch Lab – demonstrations of cool ups and warm downs – attendee participation.
LEON – offering free samples of super bowls and salads promoting the benefits of grains and protein in healthy diets.
The Event potentially may carry with it some risks (e.g. personal injury) that we cannot eliminate. Subject to these Terms, participating in the Event is entirely at the participants own risk.
All ages are permitted but children aged 16 or under must be supervised by parents/guardians at all times. Parents and/or guardians remain fully responsible for the welfare and safety of their children at the Event.
Attendees must:
Comply with all instructions and safety announcements from Event staff.
Communicate any allergies and dietary restrictions to Event staff before accepting any food or beverage samples in order to enable Event staff can advise on the suitability of these products.
Not bring any weapons, glass bottles, flammable liquids or any other item that may be considered dangerous to the Event and the Centre.
Not smoke any cigarettes, vapes or other similar electronic smoking devices.
The Event Organisers reserve the right to:
Refuse admission to the Event and to ask you to leave the Event at any time in its absolute discretion.
Change the advertised date, opening hours and schedule of the Event without notice or liability, where it is necessary to do so for reasons beyond its reasonable control.
In its absolute discretion, whether for safety reasons or otherwise, to close the Event at any time. Westfield will, where possible, give prior notice of such closure.
Westfield Club Offer – one free Day Pass for use on Santander Cycles
As part of the Event, Westfield Club members can use a special discount code which allow members to access one free day pass (usually priced at £3.50) to use Santander Cycles for one week in August (the “Offer”).
The following terms and conditions apply:
The free day pass code will be made available to Westfield Club members through the newsletter and online.
The Offer will only be available to use from 30 August 2025 – 6 September 2025.
Riders accessing the pass must be a Registered User of Santander Cycles. Riders must be at least 14 years old to ride the Santander Cycle bicycle. Additional Santander Cycles T&Cs will apply – see here.
Limitation of Liability
The Event Organisers will not be held responsible for the loss or damage of or to any property or personal belongings during the Event.
While the Event Organiser make every effort to monitor the services which are fulfilled by the Participating Suppliers, any liability incurred by you which is caused by the acts or omissions of the Suppliers is the responsibility of the Participating Suppliers and not the responsibility of the Event Organisers.
Other than for liability which cannot be excluded by law, neither the Centre Owner nor Westfield shall be liable for the death of, or personal injury of attendees which arise from or is caused by events outside the Centre Owner’s or Westfield’s reasonable control, including the acts or omissions of the Participating Suppliers.
The Event Organisers shall not be liable for loss or damage of any kind whether direct or indirect, including but not limited to travel expenses, car parking fees or any other out of pocket expenses.
Personal Data
By signing up to become a Westfield Club member, you may send personal data to Westfield who will use this personal data in accordance with applicable data protection laws and our privacy notice (https://uk.westfield.com/privacy). This privacy notice explains how Westfield processes your personal data, your rights in relation to that personal data, and how you can contact us. Westfield’s data protection team can be contacted at DPO@urw.com.
Where attendees have consented to receiving marketing materials from the Participating Supplier at the Event, attendees understand that their personal data will be treated in accordance with the relevant Participating Supplier’s privacy notice (not Westfield’s) and that it is the Participating Supplier who is responsible for ensuring that the attendees’ personal data is treated in accordance with data protection laws. Should attendees have any queries or complaints in relation to a Participating Supplier’s treatment of their personal data, the attendee should refer that complaint directly to the relevant Participating Supplier.
General
If any provision of these Terms is held to be invalid or unenforceable, such provision shall be struck out and the remaining provisions shall remain in force.
Save that any company in the Westfield group of companies, as well as the Centre Owners, or Westfield may benefit from these Terms, no person who is not a party to these Terms shall have any right to enforce any term under the Contracts (Rights of Third Parties) Act 1999.
Enforcement of these Terms is solely at our discretion, and just because we may not enforce them in some circumstances does not mean that we have lost the right to enforce in future.
These Terms shall be governed by and interpreted in accordance with the laws of England and Wales and any disputes will be decided only by the exclusive jurisdiction of the English courts.
